Situation- Community hospital missed getting Patient Satisfaction Q4 and Q1 data submitted, OSHA February submission missed, Core Measure Q4 submission almost missed, State Annual Hospital Survey submitted 1 month late, UR data submission late, most departmental quality audits not done.
Cost- Missed deadline for Patient Satisfaction penalty is 2% Medicare money= 220k per infracted program year. (Same if Core Measures had been missed).
Potential for lost productivity if surveyed for not doing departmental quality audits.
Solution- Quality and Departmental Project Management Tool 8k one-time service build fee plus $170 annual platform cost.
Additional Benefit- The tool provides email notification of approaching deadline dates, can replace the separately purchased policy management program ($1,200/yr.), and be utilized for the missing work order program, orientation program, and competency tracking at no additional cost. It can also replace the hospital's incident reporting program ($2,640/yr per hospital) if the corporate purchased the HIPPAA compliant platform (6k). This would then cover all the project sheets needed for the sister hospital thereby halving the platform price for the individual hospitals (3k each annually).
Situation- Hospital logged 220 incident reports per month which took 8 hours per week x 52 weeks in a year x 3 hospitals in the system x $40/hr. DQM wage estimate.
Cost- $49,920k per year on DQM incident report time.
Solution- 3 hospitals $17k annually for HIPAA compliant tool.
Additional benefits- No lost papers, smoother workflow, automatic notification of serious events to phone, auto tallying of incident type, PI tool incorporation.
Situation- Small facility gets entire new administrative team two weeks before an immediate jeopardy event. They discover that there is a lack of overall education, audits haven't been kept up, extensive productivity time is spent on plans of corrections, associated activities, and follow-up surveys.
Cost- Extensive administrative team time. The cost of complaint handling, citations, lawsuits, error mitigation, and lost productivity is called "The Hidden Factory".
Solution- They implemented the quality and departmental tracking tool, a competency tracker, a new orientation, and skills day program housed in the tool, and an online Administrator on Call Manual. After the project management tools were in place, the surveys citations went to zero.
Additional Benefit- The administrative team was able to use the newly found time towards building an enhanced wound program and telemedicine program that increased revenue and focused on quality improvement projects.
A project management tool can prevent lost revenue through better oversight, increased productivity, consolidate other programs, and keep department heads organized.
